Azores Trail Run® - WINDMILLS TRAIL

(PROVISORY)

Each participant automatically accepts the Azores Trail Run® - WindMills Trail regulations upon successfully registering for the race. The organiser reserves the right to make certain alterations wherever necessary, which will be communicated as early as possible. If there are any misspellings, or doubts as to the race regulations which have been translated into English from Portuguese, or any other such mistakes, the Portuguese race regulations are definitive.

 

1. TERMS OF PARTICIPATION

Azores Trail Run® - WindMills Trail is a Trail Running event that consists in two Trail running race, WT (ATRP) and WT (OPEN), that take place on Graciosa Island, in the Azores Archipelago.

 

1.1. MINIMUM AGE OF PARTICIPATION IN THE DIFFERENT EVENTS

The minimum age for participation on any of the races is 18 years, completed until the day of the event.

 

1.2. REGISTRATION REGULATIONS

In order to register in the Azores Trail Run® - WindMills Trail each participant must abide by the rules and regulations as set forth.
Each participant must fill in the liability waiver and deliver it, on paper, at the check-in at the event’s Secretariat. 
The participant should also pay the entry fee but it is not necessary to send the respective payment proof.

 

1.3. PHYSICAL AND MENTAL CONDITIONS

Each athlete must be sure that he/she possesses the adequate physical conditions of adaption to the settings of these extremely demanding events that combine the extreme hardness of the topography with a long run, in unpredictable weather conditions (sun exposure, rain, cold, wind, fog), that can change suddenly along the trail.
Each athlete must have the capacity to be autonomous in a mountain trail, being able to react properly to unforeseen events in this type of trail run, such as fatigue, digestive problems, muscle and joint aches and injuries.
It is recommended that all the participants conduct a medical examination certifying their physical conditions for this type of race.
At any moment, before or during the race, the organization has the right to remove from the event any athlete showing symptoms that might jeopardize his/her health and well-being.
Participants must be able to face physical and mental problems that may result from extreme fatigue, digestive problems, joint and muscle pain, etc.

 

1.4. POSSIBILITY OF EXTERNAL HELP

External help to athletes is allowed only at the refreshment posts, whose locations are set by the organization.

 

1.5. RACE BIB NUMBER (PARTICIPANT IDENTIFICATION NUMBER)

The race bib of each participant is personal and not transferable and should be clearly visible during the entire race, which means it must be placed over the clothes, on the chest or abdomen area. It may not, for whatever reason, be set on the leg, back or backpack.

1.6. CONDUCT RULES

An athlete will be punished by disqualification in the case he reveal any signs of unsportsmanlike conduct.
Omissions in this regulation will be solved by the organization. The interested parties will be notified in the most appropriate way. The transmission of information will preferably be made in the official site and in the Facebook page of the event.
Azores Trail Run® - WindMills Trail is an event encourages and promotes, above all, the fair play and the respect for nature.

 

2. THE EVENT

2.1. PRESENTATION OF THE EVENT / ORGANIZATION

Azores Trail Run® - WindMills Trail is a trail running sport event that will take place on the island of Graciosa, Azores on November 23, 2019, and will consist of two long races: WT (ATRP) and WT(OPEN)

 

Organization

The event Azores Trail Run® - WindMills Trail is organized by the Blue Island Athletics Independent Club (CIAIA), with the taxpayer number: 512030286 and with head office at Rua Capelo Ivens, Apartado 194, 9900 Horta, Açores.

 

Director of the event

The Director of the event will be Mário Leal, ultra-runner and member of the CIAIA board.

 

Race Commissariat 

The Race Commissariat will be in charge of the following Commissioners: Nelson Andrade, president and trainer of the CIAIA.

 

Maximum Number of Runners

Due to logistical reasons the Azores Trail Run® - WindMills Trail is limited to 80 participants in the follow competition: WT Open

Characterization and description of the trails

Azores Trail Run® - WindMills Trail will consist in two competitive event:

 

WT (ATRP & OPEN)

Over 40 kilometers, the Windmills Trail runs along much of the Graciosa coast, which is roughly 60.66 km² in size and roughly oval in shape, 12.5 km long and 7.5 km wide. . It is the least mountainous of the Azorean islands, reaching a maximum altitude of 405 meters on the south edge of Caldeira. This low elevation gives the island a temperate oceanic climate, characterized by the lesser rainfall of the archipelago. The low rainfall leads to the relative dryness of the island, which gives it at the end of the summer a whitish hue, which associated with the white houses of the villages gave it the epithet of "White Island". It has 4 391 inhabitants (2011), mostly concentrated in the headquarters of the only municipality of the island, the village of Santa Cruz da Graciosa, whose historic center is, by the richness and balance of its architecture, a classified area. In the past, when the population was much larger than today, the lack of water has been a serious problem, leading to the construction of various nature reservoirs (tanks) and the iconic tanks ("pauis") that are today the hallmark of the main Santa Cruz da Graciosa square. The landscape of Graciosa is of great beauty, combining the green of the pastures with the white of the isolated houses and the villages. One of the island's ex libris is a large rock formation in front of the Ponta da Barca lighthouse, with a configuration very similar to a whale seen in profile. It has fertile and flattened fields that produce corn, vegetables, fruit (mainly melon) and wine and where cattle are raised, today the main source of wealth on the island.

2.2. PROGRAMME / SCHEDULE

The athletes that want to benefit from transport made available by the organization, should show up at the place and time indicated in official website of the event.

2.3. DISTANCE (CATEGORIZATION BY DISTANCE) / ALTIMETRY (POSITIVE AND NEGATIVE SLOPE ACCUMULATED) / ATRP CATEGORIZATION OF DIFFICULTY / CHAMPIONSHIP THAT INTEGRATES / PONTOS MONT-BLANC® POINTS

2.4. MAP / ALTIMETRIC PROFILE / ROUTE DESCRIPTION

All the races have some technical difficulty and include, pedestrian rails, with steps, land and stones, pastures and roads.
The organization will signal the route with signaling strips (white, red and green with the inscription Azores Trail Run®), with a reflective band and vertical signaling plates. It is imperative to follow the signposted paths without taking shortcuts. If Participants fail to see signposting for approximately 200 meters, they should turn back until they find their signaling again. Common sense must prevail.

WINDMILLS TRAIL (ATRP & OPEN)

The trail has a positive slope of 1760 meters. The highest point is at 409 meters and the lowest at 0 meters (sea level).

2.5. TIME LIMIT

The routes, times and check points may change until the day of the event, depending on the weather and ground conditions.

Any athlete that crosses a check point after the set time will have his identification number removed by a member of the organization and will be forced to abandon the race because there will be no assistance from that point on, which means that the Organization or Assistance Service will not  be able to guarantee this athlete’s safety.

Any athlete that, by his/her own initiative, decides to withdrew from the race should  inform the Organization, in order to avoid the assistance services to centre their attention on an athlete the allegedly disappeared, neglecting the support to athletes still in the competition.

 

2.6. TIME CONTROL METHODOLOGY

An electronic time control system shall be used. The athlete's time control process will be manual in some places of the course, being made by chip in other places with rugs.
The chip is fixed on the outer top athlete's shoe, which enables the registration of the passage of the athlete. At the end of the test, this chip must be returned to the organization or the timing team.

2.7. CHECK POINTS

The checkpoints are obligatory points of passage and are located in places outlined by the organization. The passage control posts may suffer adjustments to the date of the event, due to weather terrain contingencies.
There will be other points of control of the correct compliance of the tracing by the athletes (manual control) of location not divulged by the organization. Failure to pass one or more control points will lead to disqualification of the participant. The initial and final control will be done by electronic chip.

2.8. LOCATION OF THE REFRESHMENTS POSTS / EXTERNAL AID

The refreshments posts will provide runners with food and drink to be consumed on the spot.

2.9. OBLIGATORY MATERIAL / RECOMMENDED MATERIAL / MATERIAL CHECKS

On the day of lifting the race bib, the athlete has to take and present at the help desk the mandatory equipment required by the organization, for the race that will participate.

At the beginning, during and at the end of any of the events, the organization may check if the athlete has the obligatory equipment, which follows:

* Depending on the weather conditions the organization may demand

 

- Any participant who starts the competition with walking poles will have to transport them to the finish line. It is expressly forbidden to have access to or abandon the batons anywhere on the course.

 

- For safety reasons, it is recommended that the participants check their material in order to confirm that they are in perfect conditions for the race.

 

2.10. PLACES WITH ROAD TRAFFIC

During the races there is the possibility of car traffic, according to the races maps. We advise caution at these places.

2.11. PENALTIES / DISQUALIFICATION

2.12. RESPONSABILITIES TOWARDS THE ATHLETE / PARTICIPANT

The participants enrolled in the Azores Trail Run® - Extreme West Atlantic Adventurel agree to participate voluntarily and at their own responsibility in the competition. Therefore, they agree not to complain or demand the organization, employees, officials, sponsors and other participants anything that exceeds the coverage of their responsibilities.

 

2.13. SPORTS INSURANCE

The organizer takes out a liability and personal accidents insurance for the duration of the event. This insurance guarantees the coverage of their responsibilities, their employees and participants.

3. REGISTRATIONS

3.1. REGISTRATION PROCESS

Registrations can be done at www.myazorestrailrun.com

Each participant is required to complete the form in its entirety and pay any fees in full by the deadline.  It is the participant’s responsibility to ensure that all information is true and correct, namely for the insurance purposes.

Available payment methods: ATM/MB (Portugal only and valid for 3 days), Credit Card, and PayPal.

It is not necessary to send the payment proof.

Upon confirmation of payment the athlete’s name will appear on the runner’s List

The payment of the inscription tax implies the reservation of a place at the starting line that is personal and non-transferable

3.2. REGISTRATION FEES AND DEADLINES

The registration period will run from 1st of August of 2018 to 15th of October of 2018.

 Entry fees are as follows:

By registering, the athlete is implicitly agreeing in full with this Regulation. Registrations are not transferable.

3.3. CONDITIONS FOR REFUNDING THE REGISTRATION FEE

The organization reserves the right of not refunding the registration fee of the athletes already confirmed, even in the case of anticipated cancelation, if they did not take out the registration insurance, available in the registration form. The reimbursement of the payed fees will be total in case you took out the insurance. The deadline for requesting a refund is until the last day of registration. After the deadline there is no refund even if you have subscribed the inscription insurance.

 

The reimbursement can be requested only when one participant proves:

  1. Sudden serious illness, pregnancy, serious injury, death of the insured person, death of a person very close to the insured person or of its substitute at work, making its presence essential.

  2. Serious damages to the property of the insured person at its place of residence by fire, storm, theft or damages cause by water, making its presence vital at home.

  3. Cancelation must be requested by e-mail.

 

The organization will not “freeze” the registrations.

In the case of changing the courses or cancellation of any of the races, either by weather conditions or other motives of such importance that it prevents the races from taking place, the value of the registration fees will not be reimbursed, namely if authorities prevent the race from taking place.

3.3.1. CHANGE OF RACE

It is allowed a change of race within the registration period under the following conditions:
- If there are opennings available at the race you want to change
- If you have already paid the registration:
          .If it is for a race with a higher value then the participant will have to pay the difference of the value between the races, in the values in force at the date of the change
          .If it is for a race with a lower value the participant will not be entitled to reimbursement of the difference in value between races
- If you have not paid the registration yet:
          .Whether is a upgrade or a downgrade of the race, there is no payment of any extra value

 

After the end of the registration period, no change of race is allowed.

3.5. RACE BIB COLLECTION / SCHEDULES AND LOCATIONS

The Race Bib Collection will work at Graciosa Island (place to be confirmed) from 02.00 p.m. until 10.00 p.m. of 22/11/2019.

 

3.6. AVAILABLE SERVICES

3.6.1. BUS TRANSFERS

Transfers from Santa Cruz da Graciosa to the places of the beginning of the races.

Day 23-11-2018

               WT  (ATRP):

               athletes' concentration at the Race Bib Collection at 08.00 a.m., departure at 08.15 a.m.

              WT (OPEN):

               athletes' concentration at the Race Bib Collection at 08.00 a.m., departure at 08.30 a.m.

 

4. CATEGORIES AND PRIZES

4.1. DATE, PLACE AND TIME OF THE PRIZE AWARDS

4.2. DEFINITION OF AGE CATEGORIES / GENDER / INDIVIDUAL AND TEAM PARTICIPANTS

In all the events, besides the general classification, the following categories will be considered, according to the age of the participant at 31st of October 2018:

 

General M/F

SUB 23 M / F (18 to 22 years old)

Seniors M / F (23 to 39 years old)

M40 / F40 (40 to 44 years old)

M45 / F45 (45 to 49 years old)

M50 / F50 (50 to 54 years old)

M55 / F55 (55 to 59 years old)

M60/ F60 (60 to 64 years old)

M65/ F65 (more than 65 years old)

Teams

The team classification will be taken by adding the scores of the three best athletes of each team.

 

Prizes

The prizes will be awarded at the ceremony to be held according to what is in the program.

All athletes who finish their race will be entitled to the finisher prize that will be awarded in the finish line of their race.

 

4.3. DEADLINE FOR COMPLAINTS

Any complaints must be submitted to the Race Bib Collection, on paper, together with a caution in the amount of 50,00 €, within the maximum time of 1 hour after arrival of the last athlete. In case the complaint is accepted, this amount will be returned. The associates of the Portuguese Association of Trial Running (APTR) will have the deadline of 1 week for complaints (according with the APTR ranking).

 

5. IMAGE RIGHTS

The organization reserves the exclusive right to the image of the event. Registration in the event and the consequent acceptance of this regulation implies the authorization of the participant to record images derived from their participation, and the organization may use them in the dissemination and promotion of the event in any medium. In this way, the participant cedes to the organization all the image rights related to the use of those records. Any project or advertising support must have prior authorization from the organization.

6. INFORMATION

6.1. LABEL FOR BAGS FOR CLOTHES CHANGE

- Participants in the Azores Trail Run® - WindMills Trail will be given a change bag label, which will be sent directly to the finish (arrival) zone. Participants will deliver the bag at the departure zone, which will be returned to them in the arrival area upon presentation of the race bib.

- The organization do not assumes responsibility for the contents of the same bags.

- The organization will not carry nothing but the change of clothes bag.

 

6.2. MODIFICATIONS

These rules may be edited, changed or improved at any time by the organizer without prior notice.

 

6.3. OTHERS

The Race Commissariat and Director of the Event will decide on all matters related to the event and that have not been object of regulation or about misinterpretations of this regulation.
